Privacy Policy
This Privacy Policy explains what information United Passport ("we", "us" or "our") collects when you use www.unitedpassport.com, its subdomains and our support channels, what we use it for, who we share it with, and how long we keep it. If you have a question about it, email us at contact@unitedpassport.com.
1. Who We Are
United Passport is a private passport-expediting service. We are not a government agency and we are not part of the U.S. Department of State. We help you prepare your passport application and get it to the government, working under 123 Access Travel Passport, a courier registered with U.S. passport agencies.
2. Information We Collect
a. Information you give us
- Contact details: your name, email address, phone number, and home and shipping addresses.
- Passport application answers: the information the DS-11 or DS-82 passport application asks for, such as your date and place of birth, sex, height, hair and eye color, your parents' names and details, marriage and former-name details, your emergency contact, details of any previous passport, and your travel dates and destination.
- Social Security number: the U.S. Department of State requires it on the DS-11 and DS-82 forms, so we collect it to complete your application.
- Passport photos that you upload, and the edited versions we prepare for printing.
- Documents you upload, such as travel itineraries and other supporting documents we ask for.
- Payment details: your card is charged by our payment processor. We keep the first 6 and last 4 digits of your card, the transaction ID and your payment history. We do not store your full card number or its security code.
- Messages and calls: emails, contact-form messages and live-chat conversations with our team. Phone calls with our support team may be recorded and transcribed.
If you apply for a child, you give us the child's information as their parent or guardian.
b. Information collected automatically
When you use our website we and our service providers collect your IP address, browser and device type, the pages you visit, the page that referred you and similar usage information, using cookies and similar technologies (see section 6).
3. How We Use Your Information
- To prepare your passport application, fill in your DS-11 or DS-82 form, print your passport photos and get your application to the government.
- To process your payment, refunds and any payment disputes, and to prevent fraud.
- To ship documents to you and to your courier, and to tell you about your order's status.
- To answer your questions by email, chat and phone.
- To send you reminders about an application you started but did not finish, and to invite you to review our service (see section 5).
- To measure and improve our website (see section 6).
- To meet our legal obligations and protect our rights.
4. Who We Share Your Information With, and Why
We share your information only as described below.
- Passport couriers. For Rush orders, the courier that takes your application to the passport agency sees what it needs to do that: your name and contact details, date and place of birth, addresses, parents', spouse's and emergency-contact details, your passport photo and your travel itinerary. Couriers see only the last 4 digits of your Social Security number.
- The U.S. Department of State and other government agencies, when your application is submitted, and when the law requires it (for example, to answer a subpoena or a request from a government agency).
- Our form-preparation system. The system that fills in your DS-11 or DS-82, including your full Social Security number, runs on a cloud server we rent (DigitalOcean).
- AI tools that help our team. Your support messages, call transcripts, name, contact details and order details, and documents about payment disputes, are processed by AI models (from Anthropic, OpenAI and xAI, through Vercel's AI Gateway) that help our staff read and answer messages. Your ZIP code, destination and travel dates are sent to Perplexity when we suggest flights for a travel itinerary. We do not send the Social Security number stored with your application to these tools.
- Phone and chat providers. Telnyx carries and records our phone calls, and its Deepgram speech-to-text service transcribes recorded calls. Ably carries our live chat.
- Payment, fraud and dispute services. Our payment processors (NMI, TailoredPay and PayArc) process your card, and fraud-prevention and dispute services (Kount, Verifi and Ethoca) help us prevent fraud and resolve chargebacks.
- Email providers. Postmark, SendGrid, Resend, Rasket and Google Workspace send and receive our emails.
- Shipping. EasyPost, USPS and other carriers receive the names and addresses needed to ship your documents.
- Hosting and storage. Vercel hosts our website, Neon hosts our database and Cloudflare stores the files you upload and our call recordings.
- Analytics and error monitoring. Vercel Analytics and Cloudflare Web Analytics measure how our website is used, and Sentry reports website errors to us.
- Review invitations. After your order, Trustpilot may receive a copy of one of our order emails (with your name, email address and order number) so that it can invite you to review us.
- A change of ownership. If our business is sold or merged, your information may be transferred to the new owner under this policy.
We do not sell your personal information. We do not give or rent it to advertisers, data brokers or other companies for their own marketing.
5. Emails From Us
We send emails about your order. If you start an application and do not finish it, we may also send you reminders, which can include a discount offer, and after your order we may invite you to review our service. To stop reminder and review emails, reply to the email or contact us at contact@unitedpassport.com; if an email includes an unsubscribe link, you can use that instead. You will still get emails about an order you have placed.
6. Cookies and Similar Technologies
We use cookies and similar technologies to keep you signed in, to save your progress on an application and to measure how our website is used (Vercel Analytics and Cloudflare Web Analytics). You can block or delete cookies in your browser settings; if you do, parts of the website, such as signing in, may not work. We do not currently respond to browser "Do Not Track" signals.
7. How Long We Keep Your Information
- We keep your order record while your order is active.
- About 120 days after your order's last activity it is archived, and at that point your passport photos are removed from our systems.
- One year (365 days) after your order is archived, we permanently delete the order record, including your encrypted Social Security number. We keep a summary record of the order for our business records: your name, contact details, address, date and place of birth, application answers, order and payment details, and the first 6 and last 4 digits of your card.
- Cancelling or refunding an order does not by itself remove your information.
- If your payment is declined and you do not complete the order, that application is removed about 120 days after the decline.
- An application you save to finish later is removed after 30 days, or after 15 days if it was saved automatically when you left the form. Saved applications never contain your Social Security number or card number.
- Call recordings are removed automatically after a retention period we set (180 days by default). Written transcripts of calls, emails and chat messages are kept.
You can ask us to expunge your information sooner by contacting support.
8. Security
Information you send to our website travels over an encrypted connection (TLS). Your Social Security number is encrypted when we store it, and our staff can see the full number only through a separate, permission-controlled step. Access to your information is limited to the staff and service providers who need it for the purposes above. No system is completely secure, so we cannot guarantee the security of your information. If you think your information has been misused, contact us right away.
9. Your Requests
You can ask us to tell you what information we hold about you, to correct it, or to expunge it. Email us at contact@unitedpassport.com. We will confirm your identity before acting on a request. We may need to keep some records, such as payment and transaction records needed for accounting, fraud prevention or a payment dispute, or information the law requires us to keep; if so, we will tell you.
10. Your California Privacy Rights
If you live in California, the California Consumer Privacy Act gives you the right to:
- know what personal information we collect, use and disclose, and to whom (sections 2 to 4 above);
- get a copy of your personal information;
- have your personal information deleted, subject to the exceptions the law allows;
- correct inaccurate personal information;
- opt out of the sale or sharing of your personal information;
- limit our use of your sensitive personal information; and
- not be treated differently for using any of these rights.
We do not sell your personal information. We use sensitive personal information, such as your Social Security number, only to prepare and submit your application and provide our service.
To make a request, you or an authorized agent can email us at contact@unitedpassport.com. We will ask you to confirm your identity, and we will respond within 45 days, or tell you if we need more time as the law allows.
11. Children
Our website is meant for adults. A parent or guardian applies for a child's passport and gives us the child's information. If you believe a child has given us information directly, contact us and we will expunge it.
12. Other Websites
Our website links to other websites, including government websites. Their privacy practices are their own; this policy does not cover them.
13. Where Your Information Is Processed
We store and process your information in the United States. Some of our service providers may process it in other countries.
14. Changes to This Policy
We may update this policy. When we do, we will post the new version on this page and change the "Last updated" date.
15. Contact Us
